How to input a Building Use Request

GVLS Building Use Calendar Setup   
Below you will find instructions as to how to set up a Building Use Calendar Entry. The staff does not have access to enter events but they can see them so they know what and when areas are available. This also allows the administrators an approval step in the Building use process. Thanks for the help in getting these events setup. 
•    Open the Building Use Calendar (Make sure the box is checked next to this calander.)
•    Click on “Create” and select “Event”
•    Enter the title of the event starting with the room example: “HS Gym” Blood Drive
•    Modify the date and time 
•    Select “More Options”
•    Add Guest(s)
    Always: Add Terry Hejduk and your buildings 1st and 2nd shift custodian to your events. 
    Person running the event
    If in a different area then your building that areas custodian
    If Auditeria or Gym: Frank Hall
    If Sound Needed: Jim Stanley
    Technology Needed: Doug Saurbach
•    Select Rooms (Set up By Building)
    If Using Auditeria: Check Athletic Events
    If Using Gyms During the Day: Check Gym Class Schedules
    If Athletics select the gym or field. 
    If Using Auditeria During the Day: Breakfast & Lunch
    If Using The Libraries During the Day: Check Class Schedules
•    Add Notes
    Example: 
This event will be set up and coordinated by Mrs. Jones. This is a 3rd Grade Choir Concert.

Mr Satnley and Mrs Jones, Please work together for sound needs.

All 1st Shift Custodian and Maintenance workers. Please work together to set up approx. 200 chairs. Please leave a row or two of tables in the back of the Auditeria.

Dawn/Jolene, Please make sure the Main and Athletic South Doors are open at 5:15 pm.

All 2nd Shift Custodians. Please meet to pick up chairs at 8:30 pm.
•    Save and Send Invites

•    Please Note: 
    Do not set up as a reoccurring event unless date ranges are used. I will populate during Summer. I would edit a current event and under “More Actions” select duplicate and then change the dates.
    It is important to add the custodians and maintenance workers involved along with adding a note as to what is needed (Bleachers, Tables, Chairs, Ect). I have it set up for them to send a daily reminder after they accept the invite.
    If All Events were sent to Arleen I will match the Building Use Calendar to the School Calendar.
    Staff should check the Building Use Calendar 3 to 4 weeks before their event to make sure it is on the calendar.
    Entries can be made by Principals, Athletic Director, Maintenance Supervisor, IT Supervisor & Superintendent Secretary only at this time. 
    A Help Desk Ticket is best for the Maintenance Supervisor to enter the event. I will do these once a week. Info needed (Date, Times, Coordinator, Items Needed, Sound Needed, Doors Needed and Times Needing Opened.
